Medicare lead distribution

Medicare lead distribution by territory, agent by agent, with the AI switched off if you need it.

TL;DR

LeadMove routes Medicare leads to the agency or agent that covers the lead's zip codes, with daily caps for AEP volume, exclusive or shared per pipeline, and a backfill so no lead sits unrouted. AI features can be turned off for your organization, so no lead data reaches an AI model.

How Medicare leads get routed today

Most Medicare lead sellers run distribution out of a spreadsheet: a tab per agency, a list of zips per county copied by hand from a map, and someone forwarding leads by email after the fact. When AEP hits, one agency is buried under leads it cannot call back while the agency two counties over waits for its share. A lead from a zip nobody claimed sits in the sheet until someone notices. And when an agency says it never received a lead, or received one from outside its territory, there is no record of who got what, when, or why. Every one of those problems is a routing rule you are enforcing by hand.

Routing patterns Medicare agencies run on

Each pattern is a rule you build once and LeadMove enforces on every lead, with 15+ operators to combine.

Territories by zip, a county at a time

A county is a list of zip codes. Paste the county's zips into one condition and every lead from those zips goes to the agency that covers them. Add a second county to the same agency later without touching the first.

How territory routing works

Daily caps sized for AEP

Cap how many leads each agency takes per day and pace them across the day, so a morning of ad spend does not dump 40 leads before lunch. Raise the cap for the enrollment period, lower it after, and let over-cap leads roll to the next agency.

Licensed state gate

Put a state condition above the zip condition so a mistyped zip never crosses a state line. An agency licensed in one state only ever receives leads from that state, and the zip prefix does the rest.

state equals FLAND zip starts with 335

Exclusive to one agency, or shared at two prices

Sell a zip as an exclusive lead to one agency or as a shared lead to several, each at its own price per lead. Run both from one pipeline and bill each agency at the rate you agreed.

How Medicare agencies use LeadMove

One Medicare pipeline across every agency

Point your ad forms and lead vendors at one webhook and let the rules fan every lead out by territory, cap and state. Add an agency, change its counties or pause it during a staffing gap without touching your ad setup. If your compliance team asks, AI features can be turned off for the whole organization, so no lead data reaches an AI model.

The beneficiary hears back before the agent calls

The moment a lead reaches an agency, LeadMove texts and emails the beneficiary to say who will be calling, in that agency's own wording, with its booking link. The agent dials someone who is expecting the call, and you write the message once for the whole pipeline.

Returns with a record, not a phone argument

When an agency says a lead was a wrong number, already enrolled, or outside its territory, it files a return from its portal with a reason. You approve or reject it, the decision is logged against the exact delivery, and the make-good is billed right.

Each agency sees its own leads only

Every agency logs into a portal carrying your name and logo, on your own domain, to see the leads it was sent, delivery status and its return history. Its numbers only, never another agency's, never your margins.

Medicare lead distribution, FAQ

Can I give a Medicare agency a whole county as its territory?

Yes. A county is a list of zip codes: paste the list into an "is one of" condition on the zip field and it behaves like any other territory. Copy the column from your spreadsheet and LeadMove splits it into one entry per zip, so a county of 40 zips is one paste. You can add or remove a zip later without repasting the rest.

How do I handle AEP volume without burying one agency?

Set a daily cap per agency and LeadMove paces deliveries across the day instead of sending them all at once. When an agency reaches its cap, further leads roll to the next eligible agency or to a backfill buyer, so no agency gets more than it can call back and no lead sits unrouted. Raise the caps for the enrollment period and lower them after.

Can I run LeadMove without any AI touching my Medicare leads?

Yes. AI features can be turned off for your organization in Settings, so no lead data reaches an AI model. Routing, caps, territories, delivery, returns and the buyer portal all keep working exactly the same; only the AI quality score and the in-app assistant go away. Email and phone validation are local checks and keep running.

Can I sell the same Medicare lead as exclusive to one agency and shared to others?

Yes. On one pipeline you can price a lead as an exclusive sale to a single agency or a shared sale to several, each agency at its own price per lead. Cross-pipeline duplicate detection keeps you from reselling the same lead where you did not intend to.
